The file sharing service is designed so that you can have files stored on a reliable and safe server, and share them with other participants. You should also have the possibility to grant shared access to the files when it is required. To provide access to other participants, you must use a secure file sharing procedure.
Only the administrator and users who have the relevant password can access the documents. The administrator can designate who will be able to open certain functions in the document. There is no need to download files. They can be opened and processed online. There is another option – if a direct link is provided, then the file can be downloaded.
To save the file on the server, it is necessary to have a subscription, which belongs to the administrator. Then it is necessary to enter the section with the shared files and then you will need to click on the “download file” button to start the process. How to Save Files
In order to save secure documents, it is recommended to select one of the available destinations:
- Personal files. This section stores files that can be viewed by the user who downloaded them. They can also be viewed by the head administrator and assistant administrator. You can download personal files via a direct link but you will need the credentials of the administrator.
- Shared files. This is where the files are stored and can be viewed by all users who have access to file sharing. You can also download them via a direct link but you will need administrator credentials.
- Published files. These files can be viewed by users who have access to them. The published file can be downloaded via a direct link without the need for authorization. This method is convenient to provide access to the information to clients. You can also restrict or deny access to the published files. For this purpose, select in the file sharing settings and uncheck the “Allow file sharing” checkbox.
- Password-protected files. Only participants who have a password to download such files can access them. You must specify it in the corresponding field. This method is used to provide access to certain clients.
If you need to set the credentials for downloading a file with a password, you need to change the value and password in the file sharing settings. You can act in a similar way if you want to disable saving files with a password.
For files with a password, you can enable additional protection if you want to publish them. The downloaded files are moved or copied to the appropriate folders. If necessary, you can move or copy them. For this purpose, you must click on the checkbox in the place where you want to move it. If you need to change something in the corresponding field, you should select “other actions”.
Before planning how to encrypt a pdf file, you should think of a strong password. Take into account that the downloaded files will be saved in a certain subscription. If you need to change the place for saving, you need to select “another subscription to place the shared files” in the settings. If there is more than one participant in the subscription, keep in mind that it must belong to the same administrator or the assistant.
You can share direct links so that members can download files. For this purpose, you can open any subscription, however, it must belong to the server administrator.
